Chalk vs Freshservice

A polished corporate ITSM suite that districts do buy — with per-agent pricing, separately metered asset units, and no idea that your users are students.

Pricing: Per-agent, per-month subscription across published Starter, Growth, and Pro tiers, billed annually, with Enterprise quote-only. There is no free plan — only a 14-day trial. Two things matter more than the headline for a district: the AI copilot is a paid per-agent add-on on top of the seat price, and asset management is metered on a separate axis, with plans including a fixed allowance of ITAM asset units and additional units sold separately. E-signature is also a paid add-on sold in credit packs. No education discount is published.

What both do well

  • Both do the help-desk fundamentals properly: email-to-ticket, a self-service portal, knowledge base, response and resolution SLAs, routing and auto-assignment, canned responses, CSAT, analytics, and a REST API.
  • Both keep asset records linked to tickets, so a technician can see the device history from the ticket.
  • Both publish list pricing rather than gating every number behind a sales call.
  • Freshservice's ITIL depth is real and Chalk does not match it — Chalk has no change, problem, or release management module, and no network discovery agent.

Where Freshservice is strong

  • A genuinely complete ITIL process set at the upper tiers — incident, problem, change, release, and major incident management, with a service catalog and on-call scheduling.
  • Strong no-code automation: a drag-and-drop workflow automator with multi-step approvals, available on every paid tier, and orchestration with published monthly transaction limits.
  • Automated discovery across on-premises, cloud, and hybrid estates, plus software license management, dependency mapping, IP address management, and DCIM.
  • Freddy AI for triage, summarization, and agent assistance, with a virtual agent for deflection.
  • A large integration marketplace, including a Freshworks-published connector that imports ChromeOS devices from Google Admin.
  • A mature, well-designed product with real enterprise operations behind it — this is not a tool that will surprise you by disappearing.

What to check before you buy Freshservice

  • No SIS or rostering integration of any kind — no OneRoster, Clever, ClassLink, PowerSchool, Infinite Campus, or Skyward. Students and staff arrive by directory sync or CSV, not from the system of record.

    Basis: None appear on Freshworks' Freshservice education page, pricing page, or integration listings. Note that PowerSchool appears on Freshworks' site as a customer, not as an integration.

  • No student, guardian, or family concepts. There is no enrollment, no grade, no guardian relationship, and nothing that notices a mid-year transfer or a withdrawal.

    Basis: Absent from the vendor's own education page and product documentation; the data model is employees and requesters.

  • Per-agent pricing collides with how districts staff a help desk. A district with a handful of technicians and tens of thousands of devices pays on the axis it has least of, then pays again on the axis it has most of.

    Basis: Freshworks' published pricing is per agent per month, with ITAM asset units metered separately and additional units purchasable.

  • No 1:1 device circulation as a product concept — no due dates on a student's device, no overdue workflow, no loaner pool, and no lost/stolen lifecycle.

    Basis: Absent from the ITAM feature documentation, which is framed around corporate asset assignment and reclamation.

  • E-signature exists only as a generic paid add-on sold in credit packs, not as a device-agreement workflow. Credit-metered signatures are a poor fit for a rollout that signs thousands of agreements every August.

    Basis: Listed as a per-pack add-on with a fixed number of signature credits on Freshworks' pricing page.

  • No student fee assessment, no family balances, and no funding-source or grant tracking — nothing to tie a device to ESSER, Title, or E-Rate money.

    Basis: Neither concept appears anywhere in Freshservice's product documentation or education materials.

  • ChromeOS ingest exists but is shallow: a one-way, once-daily import from Google Admin, published years ago with a small install base. There is no write-back — no OU moves, no disable, no annotated fields.

    Basis: The Freshworks marketplace Chrome OS device discovery app describes a scheduled one-way sync; a request for two-way Google Admin sync remains open in the Freshworks community.

  • It consumes SSO but is not an identity provider. It cannot issue SAML or OIDC to your other vendors, and it cannot give students a portal identity.

    Basis: Freshworks describes SSO as allowing users to access Freshservice via an internal directory — service provider only.

Where Chalk pulls ahead

  • Chalk syncs your SIS directly — PowerSchool, Infinite Campus, Skyward, and OneRoster 1.1, plus Clever and ClassLink import — so students, staff, schools, and enrollments are in the system before the first ticket is filed. Freshservice has no SIS connector at all.
  • Chalk does not charge per agent or per seat. Self-hosting is free forever under AGPL-3.0, as a single binary with every module included, so adding a technician or a building never changes the bill.
  • ChromeOS write-back, not just ingest: OU moves, disable, deprovision, and annotated fields, all planned as a diff you preview and approve, with typed confirmation on destructive actions. Freshservice's Google Admin connector is a one-way daily import.
  • The whole 1:1 loop is native — due dates and overdues, e-signature at the desk with no per-signature credits, loaners, lost and stolen with police report, attestation campaigns, and repairs that consume parts out of stock.
  • Fee assessment against a student with a family balance and email notifications, for the cracked screen that comes back in May. Chalk assesses and records; it never processes payments.
  • Purchase orders, warranty tracked on the device, on the ticket, and in the refresh runway, and funding sources as a managed list, so an ESSER or Title audit is a report rather than a spreadsheet archaeology project.
  • Chalk is itself a SAML 2.0 and OIDC identity provider with a student portal, QR badges, and outward provisioning to Google, AD, and Entra.

Common questions

We already run Freshservice district-wide. Is switching worth it?

It depends on what hurts. If your pain is ITIL process maturity, change management, or discovery across a complex server estate, Freshservice is ahead of Chalk and you should stay. If your pain is that the help desk does not know who the student is, that your Chromebook inventory lives in a spreadsheet beside it, and that the per-agent and per-asset-unit bill grows every year, that is exactly the gap Chalk was built for. Plenty of districts start by running Chalk's device and rostering side alongside an existing service desk.

Does Freshservice integrate with PowerSchool or Clever?

No. This trips people up because PowerSchool appears on Freshworks' website as a customer, and because searching for 'Freshservice OneRoster' surfaces help-center articles that are actually other companies' own support sites hosted on Freshworks. There is no SIS connector in the product. Chalk ships four SIS connectors, imports from Clever and ClassLink, and also serves a OneRoster 1.1 API outward to your other vendors.

What does Freshservice actually cost for a district with 8,000 devices and 6 technicians?

We will not quote you a number we cannot source, and neither can you get one off the pricing page — because the fleet is metered separately from the agents. The published per-agent price covers your six technicians, and the included ITAM asset-unit allowance is a small fraction of 8,000, so the devices become a second line item you negotiate. That shape is the thing to model before you compare anything: districts have few technicians and enormous fleets, which is the worst case for per-agent-plus-per-asset pricing. Chalk meters by device count with the help desk included at every rung, and self-hosting is free.

Can Freshservice handle Chromebook check-out to students with parent signatures?

Not as a workflow. You can record that an asset is assigned to a user, but there are no due dates on a student's device, no overdue handling, no loaner pool, and no lost or stolen lifecycle. Signatures are a separate paid add-on sold in credit packs, which is awkward at the scale of an August rollout. Chalk's circulation desk does all of this natively, including e-signature at the counter with no per-signature cost.

Is Freshservice's AI a reason to choose it?

It is a real advantage and Chalk has no equivalent — we will say that plainly. Freddy does triage, summarization, and deflection well. Two caveats worth knowing: the copilot is a paid add-on on top of the per-agent price, and an AI assistant does not close the gap that matters most here, which is that the system does not know your students exist.

Can we self-host Freshservice for data-residency or board-policy reasons?
