HelpSpot vs Snipe-IT

Two tools districts shortlist for device tracking and IT operations, compared the way a buying committee actually reads them: what each is, what each does well, and what to check before signing. We build Chalk, a third option in this space — that context is worth knowing as you read, and it is why every claim below carries its basis.

HelpSpot

A long-running shared-inbox help desk that takes self-hosting seriously — same price and same features on your own server as in their cloud — but it is licensed proprietary software with no asset, roster, or identity side at all.

Pricing: Published annual pricing banded by agent count, identical whether you run US Cloud, EU Cloud, or self-hosted — the vendor states there is no premium for self-hosting and no discount for cloud. The published bands include 3 agents at $899/year, 5 at $1,299, 10 at $2,199, 20 at $4,199, 50 at $9,999, 100 at $16,999, and 250 at $37,499, scaling up to 2,000 agents at $124,999/year. All tiers include unlimited tickets, unlimited mailboxes, and the AI features at no extra cost. Billing is annual; there is no free plan.

Where HelpSpot is strong

  • Self-hosting is a first-class deployment, not a legacy tier: the vendor states the price and the feature set are identical to cloud, which is unusual and worth crediting.
  • Genuine data sovereignty language backed by the product — you run the database, you own the backups, you get direct SQL access, and the install can sit behind a firewall without phoning home.
  • You control when updates are applied, so a self-hosted install can be tested in staging before production rather than being upgraded underneath you.
  • One all-inclusive price per band: unlimited tickets, unlimited mailboxes, and the AI drafting, summarization, and categorization features included rather than sold as a per-agent add-on.
  • Strong shared-inbox fundamentals — multi-mailbox and multi-brand portals at real scale, collision detection, triggers and mail rules, smart responses with placeholders, time tracking, and a knowledge base.
  • A REST API and webhooks, plus live lookup that pulls customer data from an external system into the ticket view — a reasonable seam if your student or device truth lives elsewhere.

What to check before you buy

  • Self-hosted does not mean open source. HelpSpot is proprietary licensed software you download and run — there is no public source repository and no open-source license, so you can host the code but you cannot fork it, audit it freely, or continue it if the vendor stops.

    Basis: The vendor publishes a licensed self-hosted download and no source repository or OSI license anywhere on its site.

  • Pricing scales with agent count, which is the wrong axis for K-12: a district has few technicians and enormous fleets, and the fleet is not something HelpSpot prices because it is not something HelpSpot tracks.

    Basis: Published bands are defined purely by number of agents, from 3 up to 2,000.

  • No asset or inventory management of any kind. There is no device record, so a ticket cannot tell you which machine the person is holding.

    Basis: Absent from the vendor's published feature list, which covers shared inbox, ticketing, automation, reporting, knowledge base, and AI.

  • No 1:1 device circulation: no check-out to a student, no due dates, no overdue workflow, no parent-signed agreement, no loaner pool, and no lost or stolen lifecycle.

    Basis: No asset or custody concepts exist in the product to build these on.

  • No SIS or rostering integration — no OneRoster, Clever, ClassLink, PowerSchool, Infinite Campus, or Skyward — and no student, guardian, or enrollment concepts. The data model is customers and mailboxes.

    Basis: None appear on the vendor's features, pricing, or solutions pages; the product is positioned for support teams generally, not K-12.

  • No ChromeOS, Google Admin, Intune, or Jamf ingest, so nothing reconciles your ticket queue against what the fleet actually reports.

    Basis: No MDM connector is published anywhere on the vendor site.

  • No repair records, no parts inventory, no student fee assessment, no purchase orders, no warranty tracking, and no funding-source reporting.

    Basis: All absent from the published feature list.

  • SSO and SAML are not named in the published feature list, and there is no native mobile app — worth confirming directly with the vendor if either is a requirement.

    Basis: Neither appears in the vendor's feature documentation; we would rather flag the gap than assert a capability we could not verify.

Snipe-IT

A mature, genuinely free open-source IT asset manager — it tracks the Chromebook well, but it has no help desk, no roster, and no idea which student is holding it.

Pricing: Self-hosted is free forever under AGPL-3.0 — the vendor states it 'is and always will be free.' Hosted is a published tier ladder (Basic, Small Business, then Dedicated sizes) billed annually or monthly, where the tier buys hosting resources and support rather than fleet headroom: assets and users are unlimited at every tier, including free. No per-seat or per-asset meter anywhere. No education discount is listed — schools pay the same list price as any other customer.

Where Snipe-IT is strong

  • Genuinely free to self-host, AGPL-3.0, with no crippled community edition and no per-asset or per-seat meter at any tier.
  • Publishes every hosted price openly with no 'contact sales' gate — rare enough in K-12 procurement that it deserves saying out loud.
  • Over a decade of production asset tracking behind it, with releases every few weeks and a very large install base.
  • Real identity plumbing for an asset tracker: SAML login, LDAP and Google Secure LDAP user sync, and SCIM auto-provisioning.
  • Genuine asset-lifecycle depth — checkout/checkin with optional acceptance, asset history, audits, custom fields, requestable assets, and three documented depreciation methods.
  • Tracks more than hardware: components, consumables, accessories, and software licenses with expiring-license and expiring-warranty email alerts.

What to check before you buy

  • No help desk or ticketing of any kind. A district running Snipe-IT still buys a service desk somewhere else, and the two systems never see each other.

    Basis: Absent from the vendor's product page; the feature request on the project's issue tracker has been open since 2015, and the documented answer is to integrate an external tool such as osTicket or Zendesk.

  • No SIS or rostering integration — no OneRoster, Clever, ClassLink, PowerSchool, Infinite Campus, or Skyward. Students arrive by CSV, usually exported by hand each August.

    Basis: None of these appear anywhere in Snipe-IT's product page or documentation.

  • No student, guardian, or family concepts. Everyone is a 'user' with a free-text field, so a device cannot know the student's school, grade, or enrollment, and a transfer or withdrawal is invisible to the system.

    Basis: Snipe-IT's data model has users, not students; no guardian or enrollment entity exists in the documentation.

  • It consumes SSO but is not itself an identity provider. It cannot issue SAML or OIDC to your other vendors, and cannot give students a portal login.

    Basis: Snipe-IT's SAML documentation describes it exclusively as a service provider consuming Entra ID, Google Workspace, Okta, OneLogin, or JumpCloud.

  • No purchase orders, and no funding-source or grant tracking. There is a purchase-order-number text field, but nothing that would let you answer which devices ESSER, Title, or E-Rate paid for.

    Basis: Only an order-number field appears in the docs; purchase orders are a long-standing open feature request, and no funding-source concept exists.

  • Consumables and components exist, and maintenance records exist, but they are not linked — you cannot consume a part out of stock against a specific repair.

    Basis: No documented linkage between the consumables and asset-maintenance features.

  • No native mobile app and no camera scanning from the vendor. The web UI is mobile-friendly and works with handheld scanners; every native scanning app is a third-party API client the project explicitly does not support.

    Basis: Vendor documentation states third-party projects are unsupported and to use them at your own risk.

  • No MDM ingest at all — nothing pulls from Google Admin, Intune, or Jamf, and nothing writes back. The vendor confirms there is no network agent and points at the REST API instead.

    Basis: Snipe-IT's FAQ: 'We don't currently provide a network agent, however we do have a robust REST API that can be integrated with agents if you know a little programming.'

The third option: Chalk
