Destiny Resource Manager vs Spiceworks Cloud Help Desk

Two tools districts shortlist for device tracking and IT operations, compared the way a buying committee actually reads them: what each is, what each does well, and what to check before signing. We build Chalk, a third option in this space — that context is worth knowing as you read, and it is why every claim below carries its basis.

Destiny Resource Manager

Follett's district resource-tracking system, part of the Destiny suite, used to manage technology devices alongside textbooks, curriculum materials, and other non-library resources, with bidirectional MDM sync and an optional help desk.

Pricing: Quote-only. Follett publishes no pricing for Destiny Resource Manager — no price page, no per-student rate, no tiers — and G2 records that Follett has not provided pricing information. Several capabilities are hosted-only or separately licensed, so what is in the quote matters more than usual. Note also that Follett now separately markets an 'IT Asset Manager' and a standalone 'IT Help Desk' in its Technology Suite, with feature sets that overlap Resource Manager heavily; confirm at quote time which SKU is actually being proposed.

Where Destiny Resource Manager is strong

  • The strongest permission model in the K-12 asset field: roughly 69 discrete Resource Manager permissions spanning search, resource management, circulation, fines, fees, and administration, with add, edit, delete, and duplicate as separate grants.
  • Two-tier district and site administration — access levels definable by the district administrator, a site administrator, or both, with district settings pushed out and enforced district-wide or selectively.
  • Resource Groups provide a second, orthogonal scoping axis, so access is bounded both by permission and by branch of the district's shared resource tree.
  • Offline-capable mobile scanning through the Destiny Back Office app on iOS and Android, plus Follett's own VersaScan handheld and PocketScan Bluetooth scanner. Both inventory and circulation work offline, with SSO and multi-site switching without re-authenticating — the only offline-capable option in this comparison.
  • Genuine bidirectional MDM sync across Google Workspace, Intune, and Jamf Pro, with rule-driven write-back that can change device state or organizational unit based on actions taken in Destiny.
  • Digital Signature Agreements that hard-block checkout when unsigned, map agreements to resource type, patron persona, and site, can require a signature on every checkout, and ship Block Overrides and Needs Signature compliance reports.

What to check before you buy

  • No warranty field is documented. The Add/Edit Item field list runs from Status and Condition through Purchase Price, Purchase Order, Funding Source, and Projected Life without a warranty field anywhere in it; Date Acquired plus Projected Life models asset life and depreciation, not warranty end.

  • Purchase order support is a plain text field on the item record — the docs describe it as the PO number used for the items. There is no approval routing, no line items, and no vendor records. The separate Resource Orders module is internal district-warehouse fulfillment with pick lists and shipments, not external procurement.

  • No native OneRoster, Clever, or ClassLink rostering is documented. Rostering is a nightly patron import via CSV with XSLT transform files. ClassLink and Okta appear only as SSO providers for Destiny Help Desk, never as roster sources.

  • No parts inventory and no repair-cost tracking in native help tickets — tickets carry priority, status, expected completion date, notes, assignment, and reopen, and nothing about the money or materials a repair consumed.

  • No insurance or protection-plan object. Insurance is modeled as a generic fee, with no coverage terms, claims workflow, deductibles, per-incident tracking, or renewals.

  • Digital Signature Agreements is described by Follett as a hosted cloud app requiring an external internet connection, and Destiny AI is available only to hosted customers. A district running Destiny on-premises or air-gapped cannot have either at any price.

  • Destiny Help Desk is a paid subscription add-on that additionally requires Resource Manager 22.5 or later with Unified Navigation enabled, so older on-premises installs cannot adopt it without upgrading first.

  • The native fee 'Pay' permission records a payment rather than processing one. Actual online collection requires Destiny Fee Manager, a separate Stripe-powered product whose best parent-portal experience additionally depends on Follett's own Aspen SIS.

Spiceworks Cloud Help Desk

A free, ad-supported help desk that many small district IT shops start on — capped at five technician seats, with no student roster and the device inventory in a separate product.

Pricing: The Core plan is free and ad-supported, capped at a small number of technician and admin seats with unlimited end users. The Premium plan removes ads and the seat cap for a published per-seat monthly price, billed annually or monthly — but read the vendor's footnote carefully, because Premium billing is scaled to the organization's total active employees rather than to technician seats, which is a materially different number for a district. Tax-exempt organizations can pay by invoice. Widely repeated third-party claims that Spiceworks is 'free with unlimited agents' are wrong; the vendor's own pricing page states the seat cap.

Where Spiceworks Cloud Help Desk is strong

  • Genuinely free to start for a small IT shop, with unlimited end users and unlimited ticket volume — real value for a district that is currently running the help desk out of a shared inbox.
  • Zero infrastructure: no server to procure, set up, or maintain.
  • Email-to-ticket plus a customizable end-user web portal, automatic assignment and routing by priority and category, custom ticket queues, and custom attributes.
  • Knowledge base and reporting dashboards on ticket volume and response time.
  • Native iOS and Android apps for technicians with push notifications.
  • A very large IT community behind it, which is genuine support value when you are a one-person department.

What to check before you buy

  • The free plan caps technician and admin seats. Districts that grow past a handful of techs land on the paid plan, and the paid plan's fine print scales to total active employees — the opposite of what a district wants.

    Basis: Spiceworks' pricing page states the Core plan's seat range and footnotes that Premium pricing is 'based on the total number of active employees,' not on seats.

  • No device or asset management inside the help desk. Inventory is a separate product built on network scanning — discovery of what is on your LAN, not a record of which student has which Chromebook.

    Basis: Spiceworks sells Inventory Online as a separate tool; the help desk feature list contains no asset module.

  • No 1:1 device custody: no check-out to a student, no due dates, no overdue handling, no parent-signed agreement, no loaner pool, and no lost or stolen lifecycle.

    Basis: Absent from both the Cloud Help Desk and Inventory Online product pages; Inventory is network-discovery based rather than assignment based.

  • No SIS or rostering integration — no OneRoster, Clever, or ClassLink — and no student, guardian, or family concepts. The vendor's own pricing language calls end users employees.

    Basis: None appear anywhere on the Spiceworks site; the Premium pricing footnote is written in terms of active employees.

  • No repair records, no parts inventory, no student fees, no purchase orders, no funding-source tracking, and no asset warranty tracking. Contracts Tracker covers vendor contract expiry, which is adjacent but not the same thing.

    Basis: All absent from the published feature lists of the help desk and its companion tools.

  • No ChromeOS, Google Admin, Intune, or Jamf ingest. Inventory Online scans your local network for Windows machines, Macs, and printers, which is the wrong shape for a Chromebook fleet that mostly is not on your network.

    Basis: No MDM connector is named anywhere on the Spiceworks site; Inventory Online is agent and IP-scan based.

  • The product's history includes a discontinuation that left customers with nowhere to go: the self-hosted Spiceworks Desktop edition, which combined help desk and inventory, reached end of life and was removed, pushing everyone onto the ad-supported cloud. There is no self-hosted option today.

    Basis: Widely documented across independent sources; the vendor has removed the product pages entirely. The current tool set is cloud-only.

  • The business model is advertising — the vendor states plainly that tech vendors reach its audience through targeted advertising, and going ad-free requires the paid plan. Some districts have procurement or privacy policies that make an ad-funded tool a hard conversation.

    Basis: Stated on Spiceworks' own Inventory product page; ad-free is listed as a Premium-only feature.
