Two tools districts shortlist for device tracking and IT operations, compared the way a buying committee actually reads them: what each is, what each does well, and what to check before signing. Asset Panda
A highly configurable general-purpose asset tracker with a real education page — it will document custody and the grant that paid for the device, but it has no roster underneath it and no price on its website.
Where Asset Panda is strong
- The most configurable product in this comparison: unlimited configurations, custom fields and action-based forms mean you shape the asset record around your process rather than the other way around.
- Native iOS and Android apps with barcode and QR scanning, offline mode, and GPS pindrop — genuinely useful for staff walking a building without reliable Wi-Fi.
- Its education page speaks the language: devices assigned to students or staff with documented custody history, condition tracking, and time-stamped transfer logs, aimed explicitly at 1:1 device program accountability.
- Assets can be tagged by funding source, award number, department and compliance period, which is more grant awareness than most general-purpose trackers offer and matters directly for ESSER, Title and grant-funded technology reporting.
- A broad MDM connector list — Jamf Pro, Microsoft Intune, Kandji, Apple Business Manager and Cisco Meraki — so Apple and Windows fleets populate themselves.
- It plugs into the service desk you already run rather than fighting it: Zendesk, ServiceNow, Freshservice and Jira integrations attach the right asset to the right ticket, plus webhooks for real-time updates to other systems.
What to check before you buy

No published pricing of any kind. Every cost conversation starts with a demo or a phone call, and the only self-serve path is a 7-day trial.

No SIS or rostering integration — OneRoster, Clever, ClassLink, PowerSchool, Infinite Campus and Skyward appear nowhere in the integration catalog, and nowhere on the education page either. Students arrive by CSV or by directory sync.
Basis: Absent from the vendor's published integrations page, which covers identity directories, MDM, ticketing and finance systems only.

The vendor positions the product as complementary rather than as the system of record: its education page says Asset Panda complements your existing systems by centralizing asset-level custody, lifecycle and compliance documentation. That is honest, and it means the student data still lives somewhere else.

No student fee assessment, no family balances, and no parent e-signature on a device agreement — custody history is recorded, but the money and consent side of a 1:1 program is not modeled.

There is no service desk. Repair tickets exist against an asset, but SLAs, routing, a knowledge base, CSAT and a self-service portal are things you buy from Zendesk, ServiceNow, Freshservice or Jira and then integrate.
Basis: Vendor positions ticketing systems as integrations; no native SLA or service-desk module is published.

Identity is inbound only. Okta, Microsoft Entra ID, Active Directory and Google Workspace are directories Asset Panda reads from — it does not issue SAML or OIDC to your other vendors and cannot give students a portal login.
Basis: Vendor integrations page describes these as user-synchronization and access integrations against an external provider.

Hosted SaaS only. There is no self-hosted or on-premises option, so the data lives in the vendor's cloud and the software cannot be run independently.

Spiceworks Cloud Help Desk
A free, ad-supported help desk that many small district IT shops start on — capped at five technician seats, with no student roster and the device inventory in a separate product.
Where Spiceworks Cloud Help Desk is strong
- Genuinely free to start for a small IT shop, with unlimited end users and unlimited ticket volume — real value for a district that is currently running the help desk out of a shared inbox.
- Zero infrastructure: no server to procure, set up, or maintain.
- Email-to-ticket plus a customizable end-user web portal, automatic assignment and routing by priority and category, custom ticket queues, and custom attributes.
- Knowledge base and reporting dashboards on ticket volume and response time.
- Native iOS and Android apps for technicians with push notifications.
- A very large IT community behind it, which is genuine support value when you are a one-person department.
What to check before you buy

The free plan caps technician and admin seats. Districts that grow past a handful of techs land on the paid plan, and the paid plan's fine print scales to total active employees — the opposite of what a district wants.
Basis: Spiceworks' pricing page states the Core plan's seat range and footnotes that Premium pricing is 'based on the total number of active employees,' not on seats.

No device or asset management inside the help desk. Inventory is a separate product built on network scanning — discovery of what is on your LAN, not a record of which student has which Chromebook.
Basis: Spiceworks sells Inventory Online as a separate tool; the help desk feature list contains no asset module.

No 1:1 device custody: no check-out to a student, no due dates, no overdue handling, no parent-signed agreement, no loaner pool, and no lost or stolen lifecycle.
Basis: Absent from both the Cloud Help Desk and Inventory Online product pages; Inventory is network-discovery based rather than assignment based.

No ChromeOS, Google Admin, Intune, or Jamf ingest. Inventory Online scans your local network for Windows machines, Macs, and printers, which is the wrong shape for a Chromebook fleet that mostly is not on your network.
Basis: No MDM connector is named anywhere on the Spiceworks site; Inventory Online is agent and IP-scan based.

The product's history includes a discontinuation that left customers with nowhere to go: the self-hosted Spiceworks Desktop edition, which combined help desk and inventory, reached end of life and was removed, pushing everyone onto the ad-supported cloud. There is no self-hosted option today.
Basis: Widely documented across independent sources; the vendor has removed the product pages entirely. The current tool set is cloud-only.

The business model is advertising — the vendor states plainly that tech vendors reach its audience through targeted advertising, and going ad-free requires the paid plan. Some districts have procurement or privacy policies that make an ad-funded tool a hard conversation.
Basis: Stated on Spiceworks' own Inventory product page; ad-free is listed as a Premium-only feature.
The third option: Chalk
